What happens when I share my Google Calendar with someone?

When you share your Google Calendar with someone, you’re actually giving them a window into your schedule, with varying levels of access depending on your permission settings. After you have sent an email invitation to the person concerned and they accept, your calendar will appear in their Google Calendar under the title “Other calendars.” You can choose from options like letting them only see when you’re busy or allowing them to “Make changes to events” or “Make changes and manage sharing” for complete control. It can be a dealmaker or breaker in any case, so make sure you decide the kind of permission in the settings to avoid any confusion or mishandling. This feature is incredibly useful for coordinating with family, collaborating with colleagues, or having an assistant manage your appointments, all while you can have the final say on the changes and view them anytime you like.

Steps to share Google Calendar with someone

If you want to share the Google Calendar with someone, these would be the steps –

  • Open the Google Calendar – Go to calendar.google.com on your computer or the device that you are using.
  • Go to Settings – On the left, choose the calendar you wish to share with the person, click the three dots, and then select “Settings and sharing.”
  • Add People – Scroll down to “Share with specific people or groups” and click “+ Add people and groups.”
  • Now enter Email & Permissions – Type the concerned person’s email address. From the dropdown menu that opens up, choose their access level, which will then decide what they can see and, in some cases, edit.
  • Send the Invitation – Finally Click on “Send.” They’ll receive an email with a link to add your calendar to their own. They can now take a decision and choose to add the calendar.

Doing this will help you share the calendar with anyone you want to. You just need to have their contact or their email address to be doing so.

Sharing a Google Calendar is simple and convenient and saves the hassle of noting down dates, events and tasks. It notifies you before the event takes place so that you be there irrespective of forgetting it.
