Do you want to get a W-2 from an old job of yours? While this is usually tricky, let us walk you through the process and get things straightened out. Let’s dive into the steps and more.
What is a W-2 in a job?
A W-2, which is officially the “Wage and Tax Statement,” is a year-end summary of your earnings and the taxes you paid. Your employer is legally required to send this to you and the IRS by January 31st each year, so that things stay transparent and no legal discrepancy exists. It lists your total income for the year, and also shows exactly how much was taken out for federal and state income taxes, Social Security, and Medicare if you are eligible. You need this form to file your taxes, and it is important for that reason. It also tells the government whether you paid your dues throughout the year, or if something remains that has to be sorted out.
Steps to get a W-2 from an old job
If you have left an old job and want a W-2 Certificate from them, these are the steps that you can follow.
Check Former Portals
That’s something you can do just to be sure. Before calling anyone, try logging into the payroll site you used while working there, like ADP, Workday, or something else. Most companies leave “Employee Self-Service” accounts active for former employees, at least for a while, specifically so you can download tax forms and manage things.
Update Your Address
This is not mandatory for everyone, but if you’ve moved since you left that job, the company is likely going to mail your W-2 to your old house. So, try to call or email their HR/Payroll department right away to give them your current mailing address to receive it at the current address.
Email HR Formally
Send an official email to the HR department regarding the matter. Include your full legal name, the last four digits of your Social Security Number, and your dates of employment. This helps them clarify things, and you also get a firm answer.
Wait for the Jan 31st Deadline.
By law, employers must mail or provide digital access to W-2s of the employees by January 31st. Give the mail a few days to arrive in early February, and if it still doesn’t, you can reach out to them.
Involve the IRS after the deadline.
If it is the next month since the deadline has passed, and you still don’t have it, you can call the IR
