Therefore, in today’s guide, we will discuss how we can set up auto-replies in Outlook. Let us begin!
What is auto-reply in Outlook?
Auto Reply is a feature in Outlook that allows the users to reply to their emails automatically in short as well as long terms. Even if you are taking a break for a few days, your Outlook will handle your emails, not making you absent online.
How can I set up auto reply in Outlook?
If you want to utilize the auto-reply feature in Outlook, you can follow the steps given below and have the mails answered!
1) Open Outlook
Open Outlook and choose ‘File’. This option is located on the upper side of the screen and is needed to further open the account information.
2) Choose ‘Automatic Replies’
The next screen opens a list of options. These options are for you to choose from. However, for now, choose ‘Automatic Replies’.
You will be directed to the window where you can further write the automatic message.
3) Select ‘Send automatic replies’
After you select the option of ‘Send automatic replies’, you can also set the time limit for which it would be active. For example, if you are unavailable from 12:00 pm on Sunday till 04:00 pm on Friday, you can set your Outlook accordingly. It will send the automated replies for this stipulated time period only. This is an optional step, and you may completely skip the use of time brackets.
4) Typing your auto-reply message
The most important step is to write a proper auto-reply message on Outlook. It has to be exactly on point and concise. Avoid being exaggerated in such a mail, and try keeping it short and crisp, especially if you are using it for official purposes.
The two tabs of ‘Inside my organization’ and ‘Outside my organization’ will further help you create different sets of messages for different purposes, namely, official and private.
5) Save the settings
You can optionally set some rules for the automatic replies that you have generated. However, this part can be skipped as it isn’t majorly important. Then click ‘OK’ to save your progress.
Now you have your autoreply properly set up in Outlook and can help you when you’re chilling on vacation. However, remember that if you haven’t put the time frame in auto replies, you may have to manually turn them off. Otherwise, it will continue to send auto-replies to your emails and will prolong your online absence.
Hope this guide has been of help to you and you have learnt how to set up auto reply in Outlook. Give this feature a try, as it can be a real lifesaver, especially during your busy days.
