How to Share Power BI Dashboard

Power BI is still an effective tool for business intelligence and data visualisation. It’s easier than ever to share dashboards and reports with coworkers, clients, or stakeholders thanks to its extensive feature set and intuitive UI. This is a 2024 update to the document that explains how to share Power BI dashboard with others.

KEYPOINT: Simply type their email address or name, add a message if you’d like, and click Send. When you click Send, Power BI emails your recipients the link. Upon receiving the email, the recipients have the option to open the report by clicking on the shareable link, which will instantly grant them access to it.

Setting Up Your Dashboard

Make sure your dashboard is prepared before sharing:

  • Design and Layout: Put your images in order and make sure they are succinct and clear.
  • Data Accuracy: Confirm that the information is correct and current.
  • Authorisations: Verify that you possess the required authorisations to distribute the dashboard.

Sharing with Power BI Service

App.powerbi.com is the central portal for dashboard collaboration and sharing via the Power BI Service. How to Share:

  1. Post Your Dashboard:
  • Click Power BI Desktop’s “Publish” button.
  • Within Power BI Service, choose your workspace.
  • Get to the Dashboard: Go to “My Workspace” or the relevant workspace where the report was published.
  1. Distribute the Dashboard:
  • To share a dashboard, open it.
  • In the upper right corner, select the “Share” button.
  • You can choose from your contacts or enter the email addresses of the users you wish to share with.
  1. Set Permissions:
  • Choose the appropriate permission level: ‘Can view’ or ‘Can edit’.
  • Optionally, you can add a message to provide context to the recipients.
  1. Send Invitation: Click ‘Share’. Recipients will receive an email with a link to the dashboard.

Dashboards Integrated

You may combine your Power BI dashboards with other programs or websites for a more seamless user experience. How to Incorporate:

  1. Acquire the Embed Code:
  • Navigate to the report or dashboard you want to embed.
  • Either choose “Publish to web” under “File” or “Embed report” from the menu.
  1. Set Up the Embed Configuration:
  • Select the embed options, including the report type, filters, and desired images.
  • Take a copy of the provided embed code.
  1. Include in Your Program: For additional customisation, use the Power BI JavaScript API or copy and paste the embed code into the HTML of your application.

Using the Power BI Mobile App to Share

When on the go, users can access dashboards via the Power BI mobile app.

  1. Launch the mobile application: Get the Power BI app from Google Play or the App Store, then install it.
  2. Log in: Enter your Power BI account credentials to log in.
  3. Obtain and Distribute:
  • Navigate to the dashboard of your choice.
  • Select recipients by tapping the “Share” icon, or click to obtain a shareable link.

Integrating Teams with SharePoint

Power BI improves teamwork by integrating with Teams and SharePoint with ease.

  1. Integration with SharePoint:
  • Upload your Power BI report to a document repository on SharePoint Online.
  • To directly insert the report into SharePoint pages, use the ‘Embed’ option.
  1. Integration of Teams:
  • To add a tab, navigate to a Teams channel and select the ‘+’ symbol.
  • Choose the report or dashboard you wish to add by selecting “Power BI.”
  • After setting up permissions, click “Save.”

Safety and Adherence

Make sure that dashboard sharing complies with the security guidelines of your company:

  • Data Security: To limit data visibility, use row-level security.
  • Audit Logs: Use Power BI’s audit logs to keep an eye on sharing behaviour.
  • User Roles: Assign roles according to user needs, making sure that the right degrees of access are granted.

In 2024, sharing Power BI dashboards will be easier thanks to a variety of integration, security, and cooperation options. You may improve your data sharing experience by utilising SharePoint and Teams, the Power BI Service, or embedding in applications. Always remember user permissions and security.
